Terms of Service

Last updated: October 7, 2026

These Terms of Service govern your access to and use of the Billable website, services, and applications. By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you may not access or use the Service.

1. Acceptance of Terms

By registering for and/or using the Service in any manner, you agree to these Terms and all other operating rules, policies, and procedures that may be published by Billable, which are incorporated by reference.

2. Changes to Terms

Billable reserves the right, at its sole discretion, to modify or replace these Terms at any time. If a revision is material, we will provide at least 30 days' notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion.

Changes that let us share or use your content in new ways, including with new AI providers, never apply to content you have already uploaded unless you agree to them.

3. Account Registration and Security

To use certain features of the Service, you may be required to register for an account. You must provide accurate, current, and complete information during the registration process and keep your account information up to date.

You are responsible for safeguarding the credentials that you use to access the Service and for any activities or actions under your account. We encourage you to use strong passwords (a combination of upper and lower case letters, numbers, and symbols) wherever you set one.

4. User Content

The Service allows you to create, upload, store, share, and otherwise make available certain information, text, graphics, or other material ("User Content"). You retain all rights in, and are solely responsible for, the User Content you post to the Service.

By making any User Content available through the Service, you grant to Billable a non-exclusive, transferable, worldwide, royalty-free license, with the right to sublicense, to use, copy, modify, create derivative works based upon, distribute, publicly display, and publicly perform your User Content in connection with operating and providing the Service. This license does not allow us to use your User Content to train or improve machine learning models, and we do not.

5. Fees and Payment

Some aspects of the Service may be provided for a fee. You will be required to select a payment plan and provide accurate information regarding your payment method. You agree to pay Billable the amount that is specified in the payment plan in accordance with the terms of such plan.

Payments will be charged on the day you sign up for a payment plan and will cover the use of that service for the period as indicated. Payment plans are auto-renewed unless canceled before the renewal date.

6. Termination

We may terminate or suspend your access to all or any part of the Service at any time, with or without cause, with or without notice, effective immediately. If you wish to terminate your account, you may simply discontinue using the Service, or contact us for account deletion.

All provisions of the Terms which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity, and limitations of liability.

7. Disclaimer of Warranties

The Service is provided on an "as is" and "as available" basis. Use of the Service is at your own risk. To the maximum extent permitted by applicable law, the Service is provided without warranties of any kind, whether express or implied, including, but not limited to, implied warranties of merchantability, fitness for a particular purpose, or non-infringement.

8. Limitation of Liability

To the maximum extent permitted by applicable law, in no event shall Billable, its affiliates, agents, directors, employees, suppliers, or licensors be liable for any indirect, punitive, incidental, special, consequential, or exemplary damages, including without limitation damages for loss of profits, goodwill, use, data, or other intangible losses, arising out of or relating to the use of, or inability to use, the Service.

9. Governing Law

These Terms shall be governed and construed in accordance with the laws of the United States, without regard to its conflict of law provisions.

10. Contact Information

If you have any questions about these Terms, please contact us at billable.to@gmail.com.

11. AI-assisted features

Some parts of Billable use machine learning models to do work for you: the Assistant, importing data from spreadsheets and other time-tracking tools, and reading photos of paper timesheets and invoices. We call these AI-assisted features.

What leaves Billable

When you use an AI-assisted feature, the content needed for that task is sent to a model run by a third-party provider. In the Assistant we replace names, notes, emails, phone numbers and addresses with stand-ins before sending, and put the real values back when the result comes home. A spreadsheet import sends only the column headings and a few sample rows. For photos and scanned documents the model has to read the page itself, so the image is sent as you took it. The feature tells you which case applies before you start.

Our providers

We only use providers that have agreed in writing not to train their models on your content and not to keep it beyond what is needed to answer the request. The current providers are listed on our subprocessors page. We will update that page before adding a provider.

We do not train on your content

We do not use your content, your clients' details or your uploaded files to train or improve any machine learning model, ours or anyone else's. Section 4 (User Content) does not grant us that right.

Results can be wrong

Models misread handwriting, guess at missing columns and sometimes invent values. Every import shows you what was extracted next to the original, and nothing is saved to your clients, time entries or invoices until you confirm it. You are responsible for reviewing imported and generated content before you rely on it or bill from it. We do not guarantee that AI-assisted output is accurate or complete.

Your uploads

You must have the right to upload what you upload. Files and photos often contain information about other people: your clients, their matters, opposing parties, patients. You confirm that you are allowed to share that information with us for processing on your behalf, and that doing so does not breach a duty you owe to them.

Connected services

If you connect a time-tracking or accounting account (for example Harvest, Clockify, Toggl or QuickBooks Time), you authorize us to read the data needed for the import. That provider's terms govern your account with them.

Turning it off

You can stop using AI-assisted features at any time. Team admins can turn them off for the whole team in Settings. Imports can always be done by hand.

Deleting uploads

You can delete any uploaded file or photo from the import screen. We delete originals automatically 30 days after an import is confirmed or discarded.
